Privacy Policy
Last updated: 3 November 2026
1. About this policy
Freedom to Flourish is committed to treating your personal information with care, respect and transparency.
This Privacy Policy explains what information I collect, why I collect it, how I use and protect it, and the choices you have about your information.
Freedom to Flourish is a private coaching experience offered by:
Natasha Wardle trading as She Shines Again
Heartwood House
Street Road
Glastonbury
BA6 9EG
Email: support@sheshinesagain.coach
I am responsible for the personal information collected and used in connection with the Freedom to Flourish website and coaching experience.
2. What information I collect
The information I collect depends on how you interact with Freedom to Flourish.
If you visit the website, contact me or book an introductory conversation, I may collect:
- your name and email address;
- any contact details you choose to provide;
- information you include in messages or booking forms;
- appointment dates and booking information; and
- limited technical information generated through your use of the website.
If we work together through Freedom to Flourish, I may also hold:
- information you choose to share during our coaching conversations;
- information about your coaching goals and what you would like to work towards;
- brief coaching notes or records relevant to our work;
- reflections, written materials or voice notes you choose to share;
- correspondence relating to your coaching; and
- administrative information relating to your sessions and payments.
Because Freedom to Flourish supports women who may have experienced bullying, bias, discrimination or other difficult workplace experiences, some of the information you choose to share may be particularly personal or sensitive.
You are always free to decide what you do and do not wish to share. You do not need to provide a detailed account of your workplace experiences to take part in coaching.
3. Introductory conversations and coaching sessions
An introductory conversation is an opportunity for us to meet, explore what you are looking for and consider whether Freedom to Flourish is an appropriate coaching experience for you.
Information you share during an introductory conversation will be treated confidentially, subject to the limits explained in this policy and any applicable legal or safeguarding obligations.
If you decide to work with me, I will use the information you share to support our coaching relationship, tailor our sessions to your needs and maintain appropriate professional records.
I will not publish your personal experiences or use identifiable details from our conversations in marketing, testimonials or other public materials without your specific permission.
Coaching sessions normally take place via Zoom. Sessions are not recorded or transcribed unless requested by the client or agreed in advance. Further details about confidentiality, coaching records and our respective responsibilities are set out in the separate Coaching Agreement provided before coaching begins.
4. How your information is used
I use personal information only where I have an appropriate reason to do so.
Depending on how you interact with Freedom to Flourish, this may include:
- responding to enquiries;
- arranging and administering introductory conversations;
- considering whether coaching is suitable for your needs;
- providing and personalising coaching sessions;
- communicating with you between sessions where appropriate;
- maintaining relevant coaching and administrative records;
- arranging payments and meeting accounting obligations;
- managing appointments and changes to bookings;
- operating, protecting and maintaining the website; and
- meeting legal, regulatory or professional obligations where applicable.
Under UK data-protection law, these activities may rely on different lawful bases, including taking steps towards entering into a contract, fulfilling a coaching agreement, complying with legal obligations and legitimate interests in operating a professional coaching practice.
Where information requires your explicit consent or another additional legal condition, I will address that separately as appropriate.
5. Confidentiality and sensitive information
Confidentiality is an important part of my coaching practice.
I will treat information shared during introductory conversations and coaching sessions with care and discretion.
I will not ordinarily disclose identifiable information about your coaching conversations to other people without your permission.
There may be limited circumstances where disclosure is required or justified, for example where I have a legal obligation to disclose information or where there is a serious concern about someone's safety.
If I use professional supervision or consultation to support the quality and ethical standards of my coaching, I will protect your identity and confidentiality as far as reasonably possible.
Information about health, mental health or other matters protected as special-category data under UK data-protection law will be handled with additional care and an appropriate legal basis and condition.
Freedom to Flourish is coaching, not therapy or a mental-health treatment service.
6. Appointment booking and external services
Freedom to Flourish uses Acuity Scheduling to arrange introductory conversations.
When you book an appointment, information you enter into the booking form is processed through Acuity Scheduling to manage the appointment and related communications.
Acuity Scheduling operates under its own privacy and security arrangements.
I also use third-party services where necessary to operate my coaching practice. These include Zoom for online coaching sessions, Stripe where clients choose to pay an invoice through that service, and services supporting website hosting, email communication and secure document storage.
Payments may also be made by bank transfer.
These providers process relevant personal information in connection with their services and have their own privacy and security arrangements.
I do not sell your personal information or share it with third parties for their own marketing purposes.
7. How your information is stored and protected
I take appropriate technical and organisational steps to protect personal information against unauthorised access, loss, misuse or disclosure.
Access to personal coaching information and administrative records is restricted to what is necessary for providing and managing my services.
Where I use third-party providers, I take reasonable steps to select services with appropriate privacy and security arrangements.
No method of electronic communication or storage can be guaranteed completely secure, but I aim to handle your information responsibly and minimise unnecessary collection or retention.
8. How long I keep your information
I retain coaching records for seven years in accordance with my coaching practice's record-retention arrangements.
Other personal information, including enquiries, booking information and financial records, is retained for as long as necessary for the purposes for which it was collected or to meet applicable legal and administrative obligations.
When information is no longer needed, I will securely delete it or anonymise it where appropriate.
Further information about the handling of coaching records is provided in the separate Coaching Agreement.
9. Your choices and consent
You have choices about the information you share with me.
You do not have to disclose details of difficult workplace experiences that you would prefer to keep private.
You can ask questions about how your information is used, and you can request that particular information is corrected or deleted, subject to any applicable legal or professional retention requirements.
Where I rely on your consent for a specific use of personal information, you may withdraw that consent.
Withdrawing consent does not affect the lawfulness of processing carried out before it was withdrawn.
10. AI and your information
AI tools may be used to support general business administration, website development or the preparation of non-confidential materials.
I will not upload identifiable coaching notes, private client reflections or sensitive information shared during coaching to public generative AI tools.
AI will not be used to make automated decisions about your suitability for coaching or to determine the validity of your experiences.
If my use of AI tools changes in a way that materially affects how your personal information is processed, I will update this policy and provide further information where appropriate.
11. Your rights
UK data-protection law gives you rights over your personal information.
Depending on the circumstances, these may include the right to:
- ask what personal information I hold about you and receive a copy;
- ask me to correct inaccurate information;
- ask for personal information to be deleted;
- ask me to restrict certain uses of your information;
- object to certain processing activities;
- ask for your information to be transferred where the right to data portability applies; and
- withdraw consent where processing is based on consent.
Not every right applies in every circumstance.
If you would like to exercise a right or ask a question about your information, please contact:
support@sheshinesagain.coach
I will respond in accordance with applicable data-protection requirements.
12. Cookies and website technologies
The Freedom to Flourish website may use essential cookies or similar technologies needed for website operation, security and functionality.
The website is initially developed and hosted through Lovable.
Limited technical information may be processed by the hosting platform and related infrastructure to operate, maintain and protect the website.
Freedom to Flourish does not currently intend to use advertising cookies, behavioural profiling, Meta Pixel, Google Analytics or similar advertising-tracking technologies.
Links from the website may take you to external services, including Acuity Scheduling. Those services have their own privacy and cookie policies.
Where non-essential cookies or similar technologies are introduced and consent is required, visitors will be given an appropriate choice.
You can also manage cookies and stored information through your browser settings.
The technologies used by the website may change over time, including if the website is subsequently migrated to different hosting arrangements. This policy will be updated where necessary.
13. Questions or concerns
If you have any questions about this Privacy Policy or how your personal information is handled, please contact:
Natasha Wardle

If you are unhappy with how your personal information has been handled, you also have the right to raise a concern with the UK's data-protection regulator, the Information Commissioner's Office (ICO).
You can find further information at www.ico.org.uk.
14. Changes to this policy
I may update this Privacy Policy if my coaching services develop, the technologies I use change or the law requires it.
The most recent version will be available on the Freedom to Flourish website, together with the date it was last updated.
